A pre-shipment check is the set of steps confirmed before a temperature-controlled shipment leaves the facility, not after it arrives. Every step is reversible at this point: a wrong coolant charge, a logger left off, or a carrier booked without the right service level can all be fixed before dispatch. None of them can be fixed once the truck door closes.
The checklist covers five areas: the conditioning state of the packaging and coolant, whether the pack-out itself is correct for this shipment, whether the logger is running and placed correctly, whether the paperwork is complete, and whether the carrier booking actually matches a temperature-controlled service. Missing any one of the five turns a shipment into an unverified guess rather than a controlled process.
Conditioning state
Coolants and phase change materials have to reach their working temperature before they go into a box, not partway there. A gel pack pulled from a freezer too early is still cooling down when it is packed, and it will spend its early hours absorbing heat from its own incomplete conditioning rather than protecting the product. Check that coolant packs have sat at their target temperature for the full time their specification requires, confirmed by a probe reading, not by how long they have visually looked frozen or chilled.
Dry ice needs a separate check: confirm the charge weight against what the route and duration require, since a route with an added delay needs more charge than the shipment's nominal transit time would suggest. Insulated containers themselves need a check too, since a shipper stored in a hot warehouse before use starts a shipment already partway warmed, even before product goes in. Pre-condition the container as well as the coolant.
Pack-out correctness
Confirm the physical pack-out matches the qualified configuration for this lane, not a close approximation of it. That means the right coolant type in the right quantity, placed in the positions the qualification protocol specifies, since coolant packs positioned incorrectly, all on one side rather than distributed around the payload, create cold or warm spots the original qualification never tested. A pack-out that looks similar to the qualified design but differs in placement is an unqualified pack-out wearing a qualified design's name.
Check load size against the container's rated capacity. An underfilled container has more air space to condition and less thermal mass from the product itself, which changes its performance from what was qualified with a full load. An overfilled container can restrict airflow around the coolant, or physically compress insulation, both of which reduce hold time. Product placement inside the box matters as much as coolant placement: keep product away from direct contact with dry ice or a coolant surface unless the qualified design specifically calls for that contact, since direct contact can freeze product that needs to stay above freezing.
Logger started and placed
Confirm the temperature data logger is switched on and actually recording before the box is sealed, not assumed to be running because it was activated at some earlier point. A logger with a dead battery or one still in setup mode produces no usable record, and a shipment with no logger data is a shipment with no way to prove what happened if a dispute arises later.
Placement is as important as activation. The logger belongs inside the payload position, next to or among the product, not taped to the outside of the box or left in an accessory pocket. A logger on the exterior records ambient conditions around the shipment, which can differ meaningfully from what the product itself experiences inside an insulated container. Confirm placement visually before the container is sealed, since it cannot be corrected afterward without opening the shipment.
Documentation complete
Every temperature-controlled shipment needs paperwork that travels with it and survives the trip: a packing list matching the shipment contents, a temperature range clearly marked on the outside of the container, and any regulatory or customs documents the specific product and route require. Missing or incomplete paperwork is a common cause of a shipment being held at a checkpoint or a border, and time spent sitting at a hold is time spent outside active temperature control.
Where the shipment needs thermal validation evidence or a stability reference to accompany the goods, confirm that reference document is attached before dispatch, not sourced after a receiving site asks for it. A shipment that arrives without its supporting documentation can be refused or quarantined at the destination even if the temperature trace itself was perfect.
Carrier booking at temperature
Confirm the booking with the carrier specifies a temperature-controlled service, not a standard freight booking with a note added after the fact. A standard booking gives the carrier no obligation to prioritize the shipment, route it through temperature-appropriate handling, or flag delays to the shipper, and a note added late in the process is easy for a subcontracted leg to miss entirely.
Check that the booking covers the full route, including any leg handled by a different subcontracted carrier, since a temperature-controlled booking with the primary carrier does not automatically pass through to a connecting driver or a regional depot unless it is explicitly carried into that leg's paperwork. Confirm the receiving site has been notified of the arrival window and the required handling, since a shipment arriving to a dock with nobody expecting it sits at ambient temperature waiting for someone to notice it.
